Grants and Funding - Privacy Statement
To enable the efficient administration and management of our grant programmes, the Western Bay of Plenty District Council (Council) collects personal information from you when you make a grant or funding application. All information collected is in accordance with the Privacy Act 2020.
In addition to collecting information directly from you, Council may also collect information about you from third parties, (who you have consented the collecting of information from) as part of your application.
The information Council collects on your application form to assess your eligibility for the grant programme includes (but is not limited to):
- Your name and contact details.
- The names and contact details of your contact person, head of organisation, or authorised person.
- Your project that is the subject of your grant application (including budget and funding sources).
- Your entity/organisation type and status and incorporation/registration details.
- Your affiliation with other organisations, funding partners and other key partnerships.
- Funding or grants you have previously received from us.
- Insurance details for the activities subject to your grant application.
- Your financial viability (including statements of financial position and performance, and annual reports).
- Your bank account details.
- Any other information you provide to support your application.
The grant application form has some fields/questions that are marked as compulsory. You will not be able to submit your application until all compulsory questions are completed and there are no validation errors. If a question is not marked as compulsory, providing that information is optional.
Council has contracted with cloud service provider SmartyGrants to provide and host the technology system for the grant programme. Any information collected from you is shared with SmartyGrants who process your information on Council’s behalf.
Council may be required to share your information with contractors and other third parties who provide services relating to the administration and management of the grant programme. Nevertheless, third parties are not permitted to use your personal information for their own use, and Council will not share your personal information unless it is for the purpose for which it is being collected, or unless it is required by law.
Council will keep your information secure and guarantees to archive successful grant applications and destroy (after 3 years) unsuccessful grant applications as recommended by the Association of Local Government Information Management.
You have the right to ask for a copy of any personal information Council holds about you, and to ask for it to be corrected if you think it is wrong. To protect your privacy, and that of others, Council may ask you to verify your identity as part of actioning an access or correction request.
